Clever Roster Sync Process

Mentioned below are the steps for end-to-end workflow to sync any Clever district SIS data on MagicBox. 

Publisher Clever App Set-up 

1. Publishers need to purchase the Clever application partner account with Secure Sync and should have SSO activated on it. The publisher will then share the application partner access with the MagicBox team.

2. The MagicBox team will create and manage the Clever app on the Publisher's application partner account on Clever, except for district onboarding processes, such as launch requests. The Magic Team will complete all the backend setup with the Clever app on the QC environment and test the Roster and SSO on stage with sandbox district.

3. The Magic Team will connect with the Clever team for the certification process. 

Note: MagicBox supports the district admin, school admin, teacher and student roles. The roles are mapped respectively with Clever roles: Clever district admin, school admin, teacher and student.

4. Once the Clever app is certified, the Magic Team will start the first-time force sync, based on the status provided by Clever.

Roster Sync Process


The Secure Sync process is automated but managed by the Magic Team to start the first-time force sync. The Magic Team will check for the district launch status by logging into the Clever portal before initiating first-time Secure Sync.

1. When the district connects with the app on Clever and the status is marked as "Launched,"  the district name will be populated in the MagicBox district list with the status "Launch." (As shown in below screenshot)  

Instruction for navigation: The publisher/district admin can perform an instant login by clicking on "Log In With Clever."  Click on "Setting" on the right-hand side menu> Click "Clever Sync."

However, on the Clever dashboard, if the district sync status says “Pending,” “On Hold,” “Error,” or “Paused,” this means that Clever is processing the most current data and the account will be fully operational shortly. 

2. The Magic Team will click on the "Launch" button to initiate the first-time sync process.

Once your first sync has been successfully completed, the Magic application will regularly update any changes and "pull" data by connecting directly with the Clever account.

Applications can then retrieve that data from the Clever account, typically on a nightly basis (scheduler) or it can be manually invoked by the district admin and publisher accounts by clicking pm "Clever Sync" on their home page.

3. When the first sync has been successfully completed, the district admin or publisher can start further sync by clicking on the "Clever Sync" button in case there is a change in the dataset. Applications will regularly update any changes automatically from the Clever account, typically on a nightly basis.

Note: On the sync of Clever data, an automated email with the sync roster details will be sent to the publisher/district admin. 

The Clever District, School and Users will not be manually edited, deleted or promoted from the MagicBox portal.
